1. Introduction
Checkd is a staff-only operational app used by authorised estate-management personnel at City & Docklands residential developments — One West Point and North Kensington Gate — to carry out and record routine building-management tasks, including issue reporting, daily walk round checks daily floor checks, concierge checks and penthouse checks.
This notice explains what personal data the Checkd app collects, why we collect it, who we share it with, and your rights. It supplements our main Privacy Policy, which covers our websites and our resident and applicant services.
The data controller is AWOL London Ltd, registered at Regina House, 124 Finchley Road, London, United Kingdom, NW3 5JS. AWOL is committed to protecting and respecting your privacy.
2. Who the app is for
Checkd is provided to authorised staff only for use in the course of their work. It is not a consumer app, it is not intended for members of the public, and it is not directed at or intended for use by children. We do not knowingly collect data relating to children through the app.

4. What data the app collects, and why
- Identity and contact data — your name and work email address. Used to sign you in, to attribute the records you create, and to send you task-related notifications.
- Authentication — the app secures access with a personal PIN. On supported devices you may optionally enable Face ID. Face ID is handled entirely by your device’s operating system using Apple’s on-device authentication; the app never receives, sees, or stores your biometric data.
- Device notification token — if you allow notifications, Apple issues a device token that we store so we can send you push notifications about your work (for example, when an incident is assigned to you, or a check is submitted).
- Photos — when you choose to attach a photo to a report or check, that image is uploaded and stored as part of the operational record it belongs to.
- Location — only when you actively choose it: for example, tapping “use current location” to attach a location to an incident report, or enabling the optional automatic site-switch feature (which is turned off by default). The app does not track your location in the background.
- Operational records — the reports, checks, comments and results you create, together with the date, time and the staff member associated with each entry. These form an audit trail of building-management activity.
5. Our lawful basis for processing
We process this data on the basis of our legitimate interests in operating and maintaining the residential developments safely, securely and to a documented standard, and, where applicable, in connection with your employment or engagement and to meet our legal and regulatory obligations.
6. Special category data and children
The app is not designed to collect special category data (such as information about your health, race or ethnicity, religious beliefs, sexual orientation, or biometric data), and staff should not enter such data into it. As set out above, the app is not intended for children.
7. Who we share your data with
We use a small number of trusted third-party service providers (data processors) to operate the app. They process data only to provide their service to us, and only under contract:
- Airtable — secure storage of the operational records.
- Netlify — hosting of the app and its server functions.
- ImgBB — hosting of photos you attach to records.
- Resend — sending notification emails.
- Apple Push Notification service — delivering push notifications to your device.
We may also disclose data where we are legally required to do so, for example to a court or regulatory authority. We do not sell, rent or trade your personal data.
8. Where your data is kept and international transfers
Some of the service providers listed above are based outside the UK, including in the United States. Where personal data is processed outside the UK, we rely on appropriate safeguards — such as a UK adequacy decision or standard contractual clauses — to ensure it remains protected to UK standards.
9. How long we keep your data
We keep operational records for as long as necessary for the building-management, health-and-safety and record-keeping purposes described in this notice, and to meet our legal and regulatory obligations. Account data (your name, email and notification token) is removed when your access to the app is withdrawn.
10. How we keep your data safe
We have appropriate security measures in place. Access to the app is protected by a personal PIN, data is transmitted over encrypted connections (HTTPS/TLS), and access to the underlying records is limited to authorised staff who have a business need for it. All our staff undergo regular cyber-security awareness and data-protection training.
11. Your legal rights
Under UK data protection law you have the right to be informed about, and to access, rectify, erase, restrict or object to the processing of your personal data, and in certain circumstances the right to data portability. 12. Complaints
We hope to resolve any concern you raise about our use of your data, so please contact us first. You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO), the UK supervisory authority, at https://ico.org.uk/concerns or on 0303 123 1113.

We may update this notice from time to time. The effective date at the top shows when it was last revised.
